Cancellation & Refund Policy

At The Southern Squat, we understand that plans can change. At the same time, each reservation removes one of our luxury restroom trailers from availability for other customers. Our Cancellation & Refund Policy is designed to provide flexibility while protecting the dates reserved specifically for your event.
Reservation Deposit
A 25% non-refundable reservation deposit is required to secure your event date unless otherwise stated in your quote or rental agreement.
Your reservation is not confirmed until the required deposit has been received and any required rental agreement has been completed.
Once your reservation is confirmed, the trailer assigned to your event is removed from availability for that rental period.
Remaining Balance
Unless otherwise stated in your rental agreement, the remaining rental balance is due 14 days before your scheduled event or delivery date.
Reservations made within 14 days of the event may require payment in full at the time of booking.
Failure to make the required payment by the due date may result in cancellation of the reservation.
Customer Cancellations
Cancellation requests must be submitted to The Southern Squat in writing.
Unless otherwise stated in your rental agreement, the following cancellation schedule applies:
More than 60 days before the event:
Any payments made beyond the 25% non-refundable reservation deposit will be refunded.
30–60 days before the event:
The 25% reservation deposit remains non-refundable. Any additional payments made will be refunded.
15–29 days before the event:
50% of the total rental amount is non-refundable.
14 days or less before the event:
The full rental amount is non-refundable.
This policy applies because short-notice cancellations may prevent The Southern Squat from renting the reserved trailer to another customer.
Rescheduling
We understand that sometimes an event needs to be moved rather than canceled.
Customers may request to transfer their reservation to another date. Rescheduling requests are subject to trailer availability.
When a rescheduling request is made more than 30 days before the original event date, we will make reasonable efforts to transfer payments already made to a new available date occurring within 12 months of the original event date.
A rescheduling fee may apply if the change results in additional administrative, delivery, staffing, or operational costs.
Reservations may generally be transferred only once unless otherwise approved by The Southern Squat.
If the requested new date is unavailable, the reservation will be treated according to the applicable cancellation provisions above.
Weather-Related Cancellations
Outdoor events are inherently subject to changing weather conditions.
Rain, thunderstorms, temperature changes, or other ordinary weather conditions do not automatically qualify a reservation for a refund.
If severe weather—including hurricanes, tropical storms, flooding, dangerous winds, or other hazardous conditions—makes delivery, setup, operation, or retrieval unsafe, The Southern Squat reserves the right to delay, modify, relocate, or cancel service.
When reasonably possible, we will work with the Customer to reschedule the rental.
If The Southern Squat determines that service cannot safely be provided because of severe weather or another condition outside either party's reasonable control, any refund, credit, or rescheduling arrangement will be determined based upon services already performed and expenses already incurred.
Safety will always take priority over scheduled delivery or pickup times.
Venue Cancellation or Change
Cancellation of a venue, change of venue, reduced attendance, or cancellation of the Customer's event does not automatically cancel the restroom trailer reservation.
The Customer must notify The Southern Squat as soon as possible regarding any event or venue changes.
If the event moves to another location, additional delivery charges may apply. The Southern Squat must approve the new location before the rental is transferred.
Early Pickup or Reduced Rental Time
No refund will normally be provided when the Customer requests early removal of the restroom trailer or uses the trailer for less time than originally reserved.
Once equipment has been delivered and made available for the Customer's event, the agreed rental charges remain due.
Cancellation After Delivery
Once the restroom trailer has been delivered to the event location, rental payments are non-refundable except where otherwise required by law or expressly agreed to in writing by The Southern Squat.
Cancellation by The Southern Squat
In the unlikely event that The Southern Squat must cancel a reservation because we are unable to provide the contracted equipment or service for reasons within our reasonable control, the Customer will receive a refund of payments made for services that were not provided.
When practical, we may also attempt to assist the Customer in identifying an alternative solution.
The Southern Squat will not be responsible for indirect or consequential expenses arising from a cancellation except where required by applicable law.
Force Majeure
Neither party will be considered in breach of the rental agreement when performance is prevented by circumstances beyond that party's reasonable control, including hurricanes, flooding, natural disasters, government restrictions, road closures, fires, utility failures, civil emergencies, or other extraordinary events.
When such circumstances occur, The Southern Squat will make reasonable efforts to work with the Customer regarding rescheduling, credits, or other appropriate solutions based upon the circumstances.
Refund Processing
Approved refunds will be returned using the original payment method whenever reasonably possible.
Processing times may vary depending upon the payment processor or financial institution.
Any payment-processing fees that are non-refundable to The Southern Squat may be deducted from the refund where permitted by applicable law and disclosed to the Customer.
Rental Agreement Controls
This website policy provides general information regarding our cancellation and refund practices.
The specific terms contained in a Customer's signed rental agreement, accepted quote, or invoice will control if they differ from this general website policy.
Questions About a Cancellation
We encourage customers to contact us as soon as possible when plans change. The earlier we know about a change, the more options we may have available.
